About the job

This is a high-impact, high-ownership role, where you’ll act as the Founder’s operational right-hand, ensuring all systems, people and finances are managed with precision. You’ll lead Latte’s day-to-day operations as a global boutique recruitment agency, and deliver executive support to our Founder. 

We’re looking for an experienced pair of hands to take ownership of all critical operational, financial, and administrative behind-the-scenes activity, freeing up our Founder’s capacity to focus on client management and business growth. 

This is a remote, full-time position based in South Africa. 

Key responsibilities:

  • Day-to-day operations: Lead on essential processes that support Latte’s daily operations, keeping everything running smoothly across our global team 
  • CRM management: Expertly manage Bullhorn data input and updates alongside legal compliance procedures
  • Business operation handbook: Support the creation of an operations handbook to standardise company processes and build a central brand hub. 
  • System management and tech implementations: Own all system changes and technology implementations across the business. 
  • Financial support: Manage client invoicing and support the Founder in making commercial decisions that support business growth 
  • HR support: Implement and streamline HR management systems and take ownership of leave management and onboarding 
  • Executive support: Work closely with our Founder to manage his inbox and calendar, and triage inbound messages based on importance and urgency.
  • Marketing support: Work closely with our Marketing Manager to complete marketing-related admin tasks such as uploading job ads, scheduling social content,  and ordering marketing materials. 

 

Who we’re looking for:

  • You have experience in an operational and/or executive assistant role, working closely with senior leadership to guide, support and manage business operations. 
  • You have experience in managing, implementing, and rolling out system and technology changes.
  • You have meticulous attention to detail, with experience managing financial, compliance, and administrative data with 100% accuracy.
  • You have experience with CRM/ATS systems (e.g. Bullhorn) 
  • You have experience in creating and optimising efficient operational workflows.
  • You have a commercial and strategic mindset to inform business decision-making.
  • You have an understanding of internal operations and can confidently support HR processes, including onboarding and leave management. 
  • Most importantly, you have the enthusiasm and drive to deliver operational support to a high level of excellence.

 

Bonus points if:

  • You have experience in the recruitment and/or PR & Communications sector. 
  • You have experience using Bullhorn, Jobadder, Notion, WordPress, and LinkedIn Recruiter
